Creating & Editing References

The reference form — its tabs, multilingual editing with translation mode, and the basic data of a project.

References are created and edited in a tabbed form. This page explains the form as a whole and the Reference basic data tab; the other tabs have their own pages.

Which tabs appear — and some behaviors like the default status — is configurable per company. Your form may show fewer tabs than listed here.

When creating a reference, only the basic data tab is active; save it once to unlock the remaining tabs. Each tab saves independently: Save stores the current tab, Save & continue stores it and jumps to the next tab. Leaving a tab with unsaved changes triggers a warning.

Multilingual editing & translation mode

Content fields exist per language. Turn on Translation mode in the form header to see the German and English versions of every field side by side — with a per-field machine-translate action that fills the empty language from the filled one. Review machine translations before publishing; they are suggestions, not final copy.

Reference basic data

Industry & grouping

  • Industries — assign one or more branches (required). The first branch determines the primary industry context; you can reorder them. If your industry is missing, use Suggest a new industry directly in the form.
  • Reference groups — assign the reference to your company's own groups; new groups can be created inline.

Title & description

  • Project title (required per language) and subtitle — the subtitle supports an AI suggestion per language: click Suggest, review the proposal, and confirm or discard it.
  • Project description — rich text, per language.
  • Tags — free keywords, used as search filters.

Project facts

  • Project statusPlanned, In Progress, or Completed.
  • Time frame — choose the date precision (year / month + year / exact date), then enter From/Until for completed projects or Since for ongoing ones. Year precision supports multi-year ranges.
  • Address — the project location, entered with a map-based address picker (OpenStreetMap); the geocoded position is used for map views.
  • Reference type and Responsible company location — where configured for your company.

Client

Pick the client with the type-ahead — or create a new client on the spot (with the create client permission). Once a client is chosen you can select the specific contact person for this project, or add a new one in a popup. The client's public display (full name, anonymized, hidden) follows the client's settings — see Clients & Contact Persons.

The form shows a live preview of the public detail page URL the reference will get.

The Internal tab

Content on this tab is never published:

  • Custom identifier — your internal project number (the label can be customized per company).
  • Responsible contact (required) — the colleague responsible for this reference; optionally marked as the recipient of public inquiries.
  • Author and version number.
  • Advanced project data — contract type, contract value, and employees involved, each with its own release level if you choose to show them.
  • Company-specific fields — your own custom fields, managed with the Add field wizard (see Branch Settings & Custom Fields).

Duplicating & deleting

  • Duplicate (in the manager or the detail view) copies a reference into a new draft — media files are copied in the background.
  • Delete requires the delete reference permission and is available in the manager's card menu, in bulk actions, and on the status tab.

Previewing

Open the reference from the manager to see the detail view — the same layout visitors will see, plus owner-only extras (publication notice, edit/duplicate/stats/print toolbar). Unpublished references are marked as visible only to you and your colleagues.
