Trash
Deleted references go to the trash first — restore them with all their content, or delete them permanently.
Deleting a reference no longer destroys it on the spot. It moves to the trash (Papierkorb), where it waits until someone restores it or deletes it permanently. An accidental click in the reference manager can now be undone with all of the reference's content intact.
What happens when you delete a reference
Delete works as before — in the reference manager's card menu, in the bulk actions for selected references, and on the status tab of the reference form. The confirmation now says "Move this reference to the trash?", and afterwards the reference:
- disappears from the reference manager (list, tiles, kanban, map) and from every filter count,
- is no longer publicly visible: search, industry pages, your company profile, the API, digital signage and the AI gateway all stop showing it, and its public URL returns "not found",
- keeps everything else unchanged: texts in all languages, media, clients, services, approval statuses, publication status, channels and client confirmations.
Because nothing but the trash flag changes, restoring a reference brings it back exactly as it was. If it was public before, it is public again straight away.
Opening the trash
In the reference manager, the Trash (n) button next to New reference opens the trash (/my/references/trash). The number shows how many references it currently holds. The button is shown to everyone with the delete reference permission, and to everyone else as soon as the trash holds something.
Each entry shows the reference's image, title and key data, plus when it was deleted and by whom. Trashed references have no detail page, so the cards are not clickable.
Restoring and deleting permanently
| Action | Where | Effect |
|---|---|---|
| Restore | On each card, or for several selected cards | The reference returns to the reference manager with all its content and its previous publication state. |
| Delete permanently | On each card, or for several selected cards | The reference, its media files and everything attached to it are removed for good. |
| Empty trash | Page header | Deletes every reference in the trash permanently. |
Permanent actions ask for confirmation first and cannot be undone. Restoring and deleting require the delete reference permission, the same permission that moves references to the trash in the first place.
A reference can only be deleted permanently once it is in the trash. A live reference always takes the detour through the trash, so nothing is ever destroyed with a single click.
Trash and your plan's contingent
References in the trash still count toward your plan's reference contingent until they are deleted permanently. That way a restore always works, even if you are at your limit. If you need room for new references, empty the trash or delete individual entries permanently. See Plan, Billing & Vouchers.
In the classic interface
The classic interface works the same way: deleting moves references to the trash, and a Trash (n) tab at the right end of the industry tabs in the reference manager opens it, with Restore, Delete permanently and Empty trash.
