The Reference Manager
Find, filter, and organize your company's references — list, tile, and map views, faceted filters, and bulk actions.
The Reference Manager (/my/references) is the home of your reference portfolio. It shows all references of your company — drafts, suggested, approved, and published alike — with powerful filtering on top.
Page layout
- Industry tabs across the top switch the view to one of your company's branches. The active branch determines which branch-specific filters (and custom fields) are offered. Show all references resets the tab.
- The toolbar holds the free-text search, the results-per-page selector (10–100), sorting, the view toggle, and the filter button.
- The filter rail (desktop) or filter drawer (mobile) contains the faceted filters.
- Active filters appear as removable chips above the results, with a Clear all shortcut.
Views
| View | Best for |
|---|---|
| List | Scanning many references with details — thumbnail, status badge, client, location, date, actions. |
| Tiles | A visual grid — large images with Featured / Verified badge overlays. |
| Kanban | The portfolio by workflow stage — one column per lifecycle stage, drag & drop to advance a reference, person filters. See The Status Workflow. |
| Map | A geographic overview — all matching references with coordinates plotted as clustered pins on an OpenStreetMap map. References without location data are counted in a note. |
Your view choice is remembered. A result-group toggle additionally switches between Projects and Companies results when you search across the platform.
Sorting & searching
Sort by relevance, newest/oldest, title (A–Z / Z–A), custom sort order, or Countersign requested. The free-text search matches as you type (debounced) across titles, descriptions, and metadata.
Share a filtered view: every search, filter, and sort choice is reflected in the page URL. Use the Share link button to copy the URL — colleagues opening it see exactly the same filtered list.
Filters
The filter rail is faceted: every option shows how many references match, sections are collapsible, long lists offer quick-search and Show more. Available facets include:
- Approved only — a quick toggle for publish-ready content
- Location (cities), Industries, Services & methods (grouped by work field)
- Contract value (interval buckets)
- Used products, Reference types, Media type (has images / video / audio / PDF)
- Project period — see below
- Company facets (size, legal form) when searching across companies
- Reference groups, Tags, Channels, Clients, Contact users, Authors
- Your branch-specific project properties — including your company-internal custom fields, visually marked as internal
Filtering by project period
The Project period filter asks one question: which projects were running during this period? Pick a window with the quick-select — This year, Last year, Last 3 / 5 / 10 years — or open Custom range for a free from/until window in the two-month calendar. The calendar headers have month and year dropdowns, so distant years are two clicks away rather than a long paging session.
A reference matches as soon as its own project period overlaps the window anywhere. All four of these count:
| The project… | Matches |
|---|---|
| started before the window and ended inside it | ✅ |
| ran entirely inside the window | ✅ |
| started inside the window and continued past it | ✅ |
| started before the window and ended after it | ✅ |
| started and ended before the window (or starts after it) | ❌ |
Ongoing projects — those with a start but no end date — match whenever they had started by the end of your window, since they are still running.
References dated with year or month precision are matched over their whole period: a reference dated 2024 counts as running from 1 January to 31 December 2024.
Choose Anytime (or remove the chip in the selected-filters bar) to drop the period filter again.
Project period is not completion. Completed since year is a separate filter that counts only finished projects and ignores planned and ongoing ones. Use the project period to ask "who was busy with this kind of work recently", and Completed since year to ask "what has actually been delivered since then". It is only shown for companies it has been enabled for.
Actions on a reference
Each reference card offers (depending on your permissions):
- Edit — opens the reference form
- Stats — the reference's view statistics
- Duplicate — copies the reference into a new internal draft, choosing what to carry over; see Duplicating & deleting
- Delete — removes the reference (requires delete permission)
Bulk actions
Select references via the checkbox on each card (or Select all on this page). The bulk toolbar then offers:
- Compare — a side-by-side comparison table of two or more references
- Export — PDF/Excel/PowerPoint export of the selection, see Export, Print & Import
- Add to watchlist — put the selection on a watchlist
- Print and Delete
Creating a new reference
The New reference button (requires the create reference permission) starts the reference form. If your plan's reference contingent is exhausted, the button tells you — see Plan & Billing.
